About this Privacy Policy
This Privacy Policy explains how Service Plaza (“Service Plaza”, “SP”, “we”, “us” or “our”) collects, uses, stores and shares personal data when you visit serviceplaza.co.uk (the “Website”), use the directory, create a business account, submit or manage a Listing, contact us or otherwise use our services.
The Website and its services are intended only for residents of the United Kingdom.

1. Personal data we collect
The information we collect depends on how you use Service Plaza.
Business account and application information
If you create or manage a business Listing, we may collect your name, email address, telephone number, account identifier, business details, public contact preferences, website and social links, service information, descriptions, images, application history and correspondence with us.
Location information
If you apply for a Listing, we collect the business-base postcode you provide so that we can verify the business is UK-based and help visitors discover businesses based near them, including online-only businesses. If you offer in-person services, we also collect your in-person working arrangement, travel radius or nationwide travel selection. We convert the postcode into geographic coordinates and a broader public area for location matching.
The business-base postcode and its precise coordinates are treated as private matching information. We do not display them publicly through the directory. We may display a broader administrative area, but not the postcode district. If customers visit your premises, you may separately provide a full customer address and explicitly confirm that it can be displayed publicly.
Public Listing information
Information you choose to publish in a Listing is publicly available. This can include your business name, descriptions, founder story, business image, broader location, a confirmed customer-visit address, working arrangements, contact name, selected contact details, website, social links, service categories and Plaza Perk.
Visitor and directory information
When you browse the Website, we may process technical information such as IP address, browser and device information, requested pages, timestamps, security logs and referring page. If you enter a postcode in the directory, we use it to calculate relevant geographic results. We do not use the visitor postcode to create a customer account or sell it to listed businesses.
Communications
We collect information you provide when you email us, make a complaint, report content, request support or exercise a data protection right.
Find a Service requests
If you ask us to help find a service, we collect your name, email address, contact number, postcode or location, the service you need, preferred timeframe and contact method, and any budget, requirements or other information you choose to provide. We may contact you to clarify the request before beginning our search.
Listing enquiries
If you use the enquiry form on a public Listing, we collect your name, email address, optional contact number, preferred contact method, message and the time you accepted the privacy notice. We send these details to the listed business so that it can respond to you directly, and retain a secure record of the enquiry and its delivery status. To prevent spam and abuse, we also temporarily use a one-way, hashed version of your IP address for rate limiting; we do not store the raw IP address with the enquiry.
Marketing preferences
The Service Plaza Briefing is included as part of the business Listing service. Business Users are told before submitting an application that their contact email will be added to the weekly Briefing, which contains Service Plaza news and information, ideas and opportunities relating to running, marketing and promoting an independent business.
The Briefing is separate from emails needed to administer an application, account, Listing, security matter or a service request initiated by the user.
Analytics and advertising data
If you consent, Google Tag Manager may load Google Analytics, which may process Website usage, device, browser, referral, approximate-location and interaction information. If you separately consent to advertising technologies after they are enabled, Meta may process identifiers and Website interactions for advertising measurement, audience building and relevant advertising. We will not load these non-essential technologies before the relevant consent choice.
2. How we collect personal data
We collect personal data directly from you when you complete a form, create an account, submit content, edit a Listing, enter a search postcode or communicate with us.
We also collect limited technical information automatically through essential cookies, server logs and security systems. We may receive authentication, hosting, email-delivery and postcode-validation information from service providers acting for us.
3. How and why we use personal data
We use personal data to:
- create, authenticate and secure business accounts;
- receive, review, administer, publish and maintain Listings;
- display the public information chosen by Business Users;
- validate UK postcodes and calculate location-based directory results;
- operate search, categories, contact links and Plaza Perks;
- deliver Listing enquiries to the Professional selected by the Customer and keep a record of delivery;
- measure clicks on Listing website, email, telephone and social contact links;
- send application, review, approval, change-request and account-related emails;
- send The Service Plaza Briefing to Business Users as part of the Listing service, manage unsubscribe requests and retain a minimal suppression record so that we respect them;
- answer questions, investigate complaints and respond to reports;
- review and respond to Find a Service requests, clarify what a Customer needs and research potentially suitable Professionals;
- prevent fraud, abuse, unauthorised access and security incidents;
- maintain audit records and protect the integrity of the approval process;
- understand technical performance and improve the Website; and
- comply with legal obligations and establish, exercise or defend legal claims.
Our lawful bases may include performance of a contract or taking steps at your request before entering a contract, our legitimate interests in operating and protecting a useful UK business directory, compliance with legal obligations, and consent where the law requires it. We rely on consent for optional analytics and advertising technologies. Where we rely on legitimate interests, including communications forming part of the Listing service where permitted, we consider the impact on your rights and interests.
You can unsubscribe from The Service Plaza Briefing at any time using the link in an email or by contacting us. Unsubscribing from marketing does not stop essential service communications about your account, application, Listing, security or a service request you have asked us to handle.
4. Public information and contact with Professionals
Service Plaza is a public directory. Information marked for public display can be seen by anyone and may be indexed by search engines or copied outside our control.
Customers can contact Professionals using a private enquiry form or the contact methods selected by the Professional, including an external website, email address, telephone number or social link. Information submitted through a Listing enquiry form is shared with that Professional, stored by Service Plaza and used by the Professional to respond directly. Service Plaza does not manage or monitor the Professional’s response.
We review Find a Service requests ourselves and may contact the Customer for clarification. We do not automatically circulate requests or provide a visitor’s details to Professionals merely because the visitor viewed or searched the directory. We will speak with the Customer before sharing their request or contact details with a potentially suitable Professional.
5. Who we share personal data with
We share personal data only where reasonably necessary for the purposes described above. Recipients may include:
- Supabase, which provides database, authentication and file-storage services;
- Vercel and related infrastructure providers used to host and deliver the Website;
- Resend, used to deliver transactional application, account and Listing enquiry emails;
- listed Professionals, when a Customer chooses to send them a Listing enquiry;
- the email platform used to deliver The Service Plaza Briefing to Business Users;
- Postcodes.io, used to validate postcodes and obtain geographic information for matching;
- Google, if Google Analytics is enabled and the visitor consents;
- Meta, if Meta advertising technologies are enabled and the visitor consents;
- professional advisers, insurers, auditors and consultants;
- law-enforcement bodies, regulators, courts or public authorities where disclosure is required or permitted by law; and
- a purchaser, investor or successor in connection with a genuine business sale, reorganisation or transfer, subject to appropriate safeguards.
Third-party websites linked from Listings process information under their own privacy policies. You should review those policies before providing information to them.
6. International transfers
Some service providers may process information outside the United Kingdom. Where UK data protection law requires safeguards for an international transfer, we will use an applicable adequacy regulation, recognised contractual safeguards or another lawful transfer mechanism.
7. How long we keep personal data
We retain personal data only for as long as reasonably necessary for the purpose for which it was collected, including to provide accounts and Listings, maintain application and approval records, meet legal or regulatory requirements, resolve disputes, prevent abuse and enforce agreements.
Retention periods vary according to the type of record and its sensitivity. When information is no longer required, we delete it, anonymise it or securely restrict it until deletion from backups is practical.
Public Listing information normally remains available while the Listing is published. Removing a Listing does not necessarily remove information already cached or copied by third-party search engines or websites.
8. Security
We use technical and organisational measures intended to protect personal data against accidental or unlawful destruction, loss, alteration, disclosure or access. These include access controls, authenticated administration, database security policies, private storage for unpublished images and restricted access to private postcode information.
No online service can guarantee absolute security. You are responsible for keeping access to your email account and Service Plaza sign-in links secure.
9. Your data protection rights
Depending on the circumstances, UK data protection law may give you the right to:
- be informed about how your personal data is used;
- request access to your personal data;
- ask us to correct inaccurate or incomplete data;
- ask us to erase personal data;
- ask us to restrict processing;
- object to processing based on legitimate interests or direct marketing;
- receive certain data in a portable format; and
- withdraw consent where processing relies on consent.
These rights are not absolute and exemptions may apply. We may need to verify your identity before acting on a request.
To exercise a right, email admin@serviceplaza.co.uk.
You also have the right to complain to the Information Commissioner’s Office. Information is available at ico.org.uk. We would appreciate the opportunity to address your concern first.
10. Children
Business accounts and applications are intended only for people aged 18 or over. The Website is not designed to collect personal data from children.
11. Cookies
We use cookies and similar technologies as explained in our Cookies Policy at serviceplaza.co.uk/cookie-policy. Google Analytics remains inactive unless the visitor accepts analytics cookies. Planned Meta advertising technologies will remain inactive until implemented with the required consent controls.
12. Changes to this policy
We may update this Privacy Policy to reflect changes to the Website, our service providers or legal requirements. The latest version will be published on this page with an updated date.
